The client

A growing IT services group

A Dutch IT services group providing managed IT, hosting and software to business customers in the Benelux and Germany. Over the years it grew into five entities: a Dutch operating company, a German and a Belgian subsidiary, a leasing company and a holding company.

The challenge

Growth had outpaced the finance setup

An older Navision environment, with a different chart of accounts per entity.
A largely manual consolidation, with intercompany balances that did not always match.
No weekly view of group cash across three countries.
External loans in the leasing entity, including a foreign-currency loan, without one complete overview.
Our approach

Rhythm first, structure second, strategy throughout

  1. A fixed financial rhythm

A weekly cash-flow file for all entities and a monthly management report with a full group consolidation, including intercompany eliminations and current-account reconciliations.
  2. One group structure in Exact Online

Entities move one by one from Navision to Exact Online, each with clean opening balances reconciled to the filed annual accounts. One group chart of accounts with dedicated intercompany accounts, and revenue split into recurring and one-off.
  3. Control over financing

A complete loan file for the leasing entity: every loan payable and receivable, with terms, interest, repayment schedules and the currency exposure, all reflected in the cash forecast.
  4. Strategic decision support

A review of the role of each entity, an analysis of how foreign revenue flows through the group, customer profitability set against helpdesk load, and a sales funnel tracker against budget.

FAQ

Frequently asked questions

Short answers to the questions we hear most about this type of engagement.

What does a CFO as a Service do for a group with several entities?

A part-time CFO sets the financial rhythm (weekly cash, monthly reporting and consolidation), designs one structure for the administrations and supports management on decisions such as financing and the role of each entity. The client’s own bookkeeper keeps doing the daily bookkeeping.

Can you move from Navision to Exact Online without losing history?

Yes. In this CFO as a Service case each entity started in Exact Online with an opening balance reconciled to the filed annual accounts, while the history stays available in the old administration for reference.

Is CFO as a Service suitable if you have foreign subsidiaries?

Yes. As this CFO as a Service case shows, Oakhill works with group structures in the Netherlands, Germany and Belgium, including intercompany positions, local VAT and the consolidation of the whole group.

How does Oakhill work with the internal finance team?

Oakhill takes the CFO role, the internal bookkeeper keeps the daily administration. Together we agree on a fixed weekly and monthly rhythm, so everyone knows what is delivered and when.

Project Title

Far far away, behind the word mountains, far from the countries Vokalia and Consonantia, there live the blind texts. Separated they live in Bookmarksgrove right at the coast of the Semantics, a large language ocean. A small river named Duden flows by their place and supplies it with the necessary regelialia. It is a paradisematic country, in which roasted parts of sentences fly into your mouth.
